The Benefits Of Using Teleform

By Shanna McNeil

Teleform is an intelligent data capture system designed to reduce the amount of time and effort involved in data entry and manual processes associated with form processing. It captures handwritten data from papers and incorporates it into automated business applications that are more secure. Some of these applications have the ability to classify forms, capture data from online questionnaires and through telephone response. This software suite was initially referred to as Cardiff teleform but it is now owned by Hewlett Packard.

The main components of the software are a serial number, four digital codes and four cornerstones. A cornerstone is black in color and is situated at each corner of the forms. The four cornerstones are used to position the form accurately. The digital codes help to identify the various forms uniquely. The serial number is made of seven digits and tracks and links forms that are made up of more than one page.

This application has several advantages as compared to other data entry packages available in the market. It has a simple structure and the likelihood of errors is very low and the cost of maintenance is not high. There are no overhead costs and offers a high degree of stability. The application has high recognition ability and can distinguish a variety of characters. It also helps in collecting data from the documents of low quality. This tool is particularly useful in collecting and analyzing data from sample surveys.

The data to be analyzed is recorded on a number of forms which are faxed into the computerized system. The graphical user interface is responsible for scanning and verifying the documents presented. The documents are then placed in the appropriate groups they belong to depending on the subject of their content. This is followed by recognition and validation and then changed into a structured format of electronic for easy access. This format of data allows easy searching of information when required for business functions.

There are a number of sequential steps involved in the processing of forms. These steps are collectively referred to as the data processing cycle. The first stage involves the completion of the documents. The filled data is then verified and any missing values checked. If any corrections are required, they are effected and then the documents are faxed into the server. The program evaluates the form and then transforms the data into a meaningful format. The personnel review the forms and transfer them to the database.

This software system carries out a number of tasks. They are commonly used to create forms that can be read by machines, scan images, analyze and make corrections on data and to collect images generated by other applications. It acquires data on documents and transfers it to the database for secure storage. The rising demand has led to the creation of sophisticated business applications. They have additional features that allow designers to create new forms or template them by making use of existing ones.

The functionality of this software relies heavily on several technologies. It uses four main technologies to effectively process the forms. These are optical mark recognition, intelligent character recognition, bar code recognition and the optical character recognition. Image scanners are used to scan and convert hand-written information into text. These scanners increase the flexibility of the entire process.

Teleform is owned by a company known as Hewlett Packard. It has made form processing easier and more efficient. It is used in finance, marketing, insurance, accounting and several other business departments.
