A printer is the peripheral that produces a paper version of any electronic document. Usually connected directly to a computer for home use however in offices most work via both network and local connections. Other printers found can print from memory cards, digital cameras and outside mediums.

Regardless of format the document required needs to be printed, all use a similar process. Software installed onto a computer enables it to communicate with the printer using USB or wire less connections. Data sent is first stored in "buffers" and on completion of data being received; the machine will start up and proceed to print the documents.

There are two main types of printers namely a laser and inkjet version. The first basically uses static electricity combined with laser beams in order to project the images onto a page which is then printed. While an inkjet one uses droplets of ink sprayed from several nozzles to create the required images. This is really a very quick way of explaining the different printers that are available.

Scanners operate much the same only in theory the process is reversed, documents read and then processed into data and sent on to the computer or relevant device. But this whole process is only possible by installation of the necessary drivers. Copiers are somewhat the same as documents are also "read", the only difference being that scanners have a flatbed on which the document is laid horizontally while a copier needs the documents to be fed. But both offer the same type of service as documents can be duplicated or sent via fax or e-mail.

The plotter is regarded as a wide bed printer used in design offices for printing lined art or designs. The old pen plotters have become obsolete, replaced by these large inkjet or LED toner printers. Cutting plotters make use of knives to cut out a design onto paper or vinyl, popularly used for card makers and scrap booking.

In recent years scanners, faxes, printers and copiers have all been combined in one single machine. These are referred to as multi-function or all-in-one machines, eliminating the need to purchase four different kinds of office equipment. These models are more often than not the central hub of any office environment. Home models are also available and offer pretty much the same functionality.

The only obvious disadvantage is that most tend to be quite bulky and need regular maintenance. But the advantages are the ability to perform multiple tasks at once which translates into enhanced productivity. User friendly touch screen interfaces ensure that all command prompts are followed and an individual will be alerted immediately if there is a problem.

Multiple computers can be integrated into one machine; unique codes ensure all documents remain private. Unfortunately when one stops functioning the whole office can be affected. Common problems are paper jamming, scanning sensitivity and wireless connections not working.

Most of the time these small errors are quickly remedied without any a technician needing to be called out. Reloading and clearing paper from the printing mechanisms are always clearly marked on the side panel of most printers. Documents can be scanned in a different format to clarify the image but Wi-Fi set ups may need an individual from an IT department to sort out. However some recommend switching the power of for a few seconds and then back on to see if it will reconnect by itself.

Replacing cartridges will have to be done by trained repair personnel. Alert are in place to warn one if ink levels are low. Most are done timorously so as to continue printing without delays.

With this active trouble shooting it is also possible for any software problems to be rectified via remote access. Most of the top branded machines have these advanced capabilities. A great printer would have advanced technologically over the past years and the front runners in design seem to be introducing innovative designs in a steady stream.
