The Systematic Ways Of Document Workflow Management

By Terry Mac

In document management systems, a lot of companies currently utilize document workflow solutions to encourage paperless office in their environment. Workflows have been designed to avoid the clutter of paperwork ending in data loss and mismanaged documents trying to keep things working seamlessly on the cloud. Moreover, this enhances the succession of activities occurring in the company and making documents more efficient and achievable.

One of the latest improvements in participation with Microsoft SharePoint 2010 is the creation of e5's document workflow for example. Because of the increase of systems that promote paperless office and solutions, e5 has created with patterns that improve the circulation of documents among people or groups of people that are either members of the company or clients themselves. Meanwhile several other software development organizations do this too by involving people in their content distribution department to produce, revise, evaluate and accept documents prior to getting all stuff finalized on the cloud. This will make it much more effective as documents are still seen under decision-supported information from "real" people before taking any action.

Benefits of having this consist of firstly, obtaining a paperless office. This helps eliminate the use of paper by scanning and coding arriving documents to produce work items. This simply classifies work data automatically by electronically taking all arriving paper to both process and archive. It assists to get data from single to multi-page forms through user-friendly document management software. Reports that can be recorded involve forms, email messages, contracts as well as tabular data on the cloud via a template that is created for each form layout identifying the zones to be captured. One document workflow feature called Optical Character Recognition (OCR) in particular detects, understands text and helps to create meta data to documents where all are confirmed to process and find exceptions of information.

Secondly with any company's available line of business systems, this kind of document management wraps around and interacts in both directions to lookup, return and verify information between existing software. It will leverage available document repository such as: EMC, EMC Documentum, HP TRIM Records Management, Integrated Archive Platform (IAP), FileNet P8, Filenet Panagon, Enterprise Imaging Solution, IBM Content Manager OnDemand, Open Text Enterprise Content Management and so on.

In addition, these workflows create auto work items for incoming emails, faxes and web forms where emails and outbound documents are instantly generated using standard templates. Then for arriving documents such as emails and faxes, particular data can be entered on the work item too. People using this can be able to enter fields in the work items with particular information and can handle how the email messages are classified and processed when they enter the mailbox. Lastly, inboxes and sent items are monitored and again, attached to work items immediately arranging all information in place.
